Booking process FAQ’s

Roomdock is a house sharing and apartment rental website designed to support the specific needs of international students. The idea was born through the vision and experience of its founder, Smith Tanny (“Smitty”), a former foreign exchange student from Indonesia. Think of Roomdock as your all-in-one platform for an international room sharing experience. Unlike the dozens of other boring apartment-sharing websites out there these days, Roomdock brings a fresh vibe to the complexities of international travel.

Roomdock is the premier platform for listing rental properties. Here’s how it works…

First, register for a free Roomdock Account using an email address and password, Facebook account, or Google account.

Second, create your Listing by submitting basic information such as address, photographs, lease duration, availability date, monthly rental rate, deposit, etc. Roomdock will review your Listing prior to publishing it on the Roomdock Platform.

Next, let the booking requests pour in! You will receive booking requests from Room Seekers who are interested in your Accommodation. When a Room Seeker submits a booking request, their credit card is authorized (not charged) for the Deposit and any applicable Service Fee. If you would like additional information from the Room Seekers such as a credit report, background check, or lease agreement, you can request these documents. You will have 24 hours to review and approve or deny booking requests.

Finally, once you approve a request, Roomdock charges the Room Seeker’s credit card for the Deposit and any applicable Service Fee using a secure third-party service. Three days after the Room Seeker’s move-in, Roomdock will release the Deposit, minus any applicable Service fee, into your account. This release process takes approximately 7 days for your first Listing and only 3 days for all subsequent Listings. Then you’re good to go with a brand new renter and some extra income!

Roomdock may offer to assist you some or all of these tasks providing either guidance or completing the task on your behalf. Examples of things that may be handled during the move in review are utility setup, furniture rental, transportation reservation, airport pickup arrangements, etc.

Roomdock is not a landlord, real estate agency, or broker and we are not affiliated with any Room Provider or Room Seeker.

Roomdock’s role is to make it easy for Room Seekers and Room Providers to connect and initially transact to rent an Accommodation.

Once Roomdock releases the Room Seeker’s Deposit, minus any applicable Service Fee, to the Room Provider, our involvement is finished.

Room Providers may require Room Seekers to sign independent, separate lease agreements, as is standard in the residential rental market.

Roomdock is not a party to, nor responsible or liable for, anything that occurs outside of our Services.

A security deposit is a fixed amount of money you pay your landlord, or management company, during the leasing process and prior to move-in.

The deposit covers any damage you might cause to the property, but you may be required to pay more upon move-out depending on whether the cost to repair the damage extends beyond the amount of your deposit.

Normal wear and tear is not considered damage. The landlord can’t spend that money while you live in the apartment. In most states, the law requires your security deposit be held in a special account until you move out and the landlord can check the apartment for damage.

If there are no damages, the money must be returned to you within a reasonable period, usually 30 days. If there are damages, the landlord must provide you with an itemized statement of deductions and any money left over must be returned to you.

Roomdock collects Room Seeker deposits upon being approved for a booking and releases them to Room Providers 3 days after the Room Seeker moves in. This provides security for the Room Seeker that in the event that the Accommodation is not as described and for the Room Provider that the funds are available.

Listing your property, or listing a room seeker profile is completely free.

In order to provide our Members with the best possible service, Roomdock charges reasonable Services Fees to Room Seekers and Room Providers. Once a Room Seeker submits a booking request, their credit card is authorized (not charged) for the Deposit shown in the Listing plus a Seeker Fee in an amount equivalent to 8% of the Accommodation’s monthly rent. Three days after move-in Roomdock retains the 8% Seeker Fee and releases the Deposit funds to the Room Provider minus a Provider Fee in an amount equivalent to 10% of the Accommodation’s monthly rent.

Let’s look at an example…

Suppose you submit a booking request for a beautiful apartment in Denver overlooking the mountains. The apartment costs $1,000 per month and the Room Provider has a Deposit of $500.

The Seeker Fee for this apartment would be $80 (8% of $1,000), so Room Seeker will be charged $580 through Roomdock (the $500 Deposit + $80). After move-in, Roomdock will release the $500 Deposit to Room Provider, minus the $100 Provider Fee (10% of $1,000).

Monthly Rent = $1,000
Deposit= $500
Seeker Fee (8% of Monthly Rent)= $80
Provider Fee (10% of Monthly Rent)= $100
Payable To Provider = $400($500 - $100)

In every situation, Roomdock allows Room Seekers to cancel their approved booking at no charge within 24 hours of approval by the Room Provider. In addition, Roomdock allows Room Providers to choose one of the three cancellation policies for their Listing:

OPTION 1: No extended refund period. Room Seeker may cancel booking within 24 hours of approval with full (100%) refund of Deposit. All cancellations after the 24 hour window are non-refundable.

OPTION 2: Cancellation within 7 days of booking approval, Room Seeker gets full (100%) refund of Deposit. Cancellation between 8-14 days of booking approval, Room Seeker gets half (50%) refund of Deposit.

OPTION 3: Cancellation within 15 days of booking approval, Room Seeker gets full (100%) refund of Deposit. Cancellation between 16-30 days of booking approval, Room Seeker gets half (50%) refund of Deposit.

In order to continue providing the best experience to Members, Roomdock Service Fees are non-refundable.

At Roomdock, your security is our top priority. In order to help keep your personal information safe and secure, all personally identifiable information such as credit reports and credit card numbers is encrypted both in transit and at rest. Credit reports and background checks only display the last 4 of your social security number to the Room Provider. We also have a two-factor authentication for access to the records and an internal retention policy that deletes the records when they are no longer needed. Roomdock never discloses contact information of our Members until after bookings have been approved.

We recommend that you take measures to protect your identity and personal information as well. Do not give your password or other log-in information to third parties and always notify us if you believe a breach of your account has occurred.

Roomdock works hard screening Listings to ensure our Room Seekers can confidently arrive at their booked Accommodations; however, if something should go wrong upon your arrival, please immediately contact Roomdock customer service.
